Create and Manage Email Events

Create, edit, test, turn on and manage the automated emails ISN sends for your orders.

Email events send emails automatically when something happens on an order, for example when an inspection is scheduled or completed. This article covers the Email Events page, creating and editing an event, testing it, and turning it on or off.

Open Email Events

  1. In the main menu, select Email.

  2. Select Email Events.

The page header also links to the Sending Queue and the Sent Log.

The Email Events list

Each row shows the event's name, Inspection types, Services, When to send / Send for, Recipient, Template, Last modified, and Sent 30d (how many times it was sent in the last 30 days).

  • On switch: turns the event on or off with one click.

  • Preview (eye icon): opens the event's details on the right side of the page. Clicking the event name does the same.

  • Edit (pencil icon): opens the full editor.

Above the list you can:

  1. Use the status control to show All, On, Off or Needs attention events. Each option shows a count.

  2. Type in the search box to find events by name, scope, sender, recipient or template.

  3. Select Filters to narrow the list by Recipients, Triggers, Tracking and opt-outs, Attention, Activity or Template, then select Apply filters. To keep a set of filters for everyone in your office, enter a name under Save these filters for this office and select Save view. Saved views appear under Office saved views.

  4. Select Export CSV to download the events currently shown.

  5. Select Show Email Timeline to see when your active events send relative to each other.

Turn events on or off, or delete them

  1. To turn one event on or off, click its On switch.

  2. To change several at once, tick the checkbox on each row (or the checkbox in the header to select every row shown), then select Turn on, Turn off or Delete selected.

After you turn events on or off or delete them, a bar appears at the bottom of the page with an Undo button. Select it to reverse the change.

When you delete an event, ISN asks you to confirm. Unsent queued emails for that event are canceled; its send history is kept.

Event details

Click an event's name or its Preview icon to open its details on the right. You will see:

  1. Whether it is On or Off, and a one-sentence summary of what it does.

  2. Anything that needs attention (see below).

  3. A preview of the email.

  4. Send me a test: sends a sample to the email address on your own ISN login only. Tests have no copies, attachments, links or images, and you can send three tests every 15 minutes.

  5. Activity: recent send counts, the last successful send, and View sent mail, which lists every email this event has sent with its delivery status.

  6. History: when the event was created and last changed.

At the bottom of the details panel:

  • Quick edit: change the event right in the panel.

  • Edit: open the full editor page.

  • Duplicate: make a copy of the event. The copy is left off so you can adjust it first.

  • Delete: delete the event.

Events that need attention

An orange dot next to an event's name means it needs attention. Open the event to see what is wrong and select the fix. ISN flags these situations:

  • The email template is unavailable: choose another template. Until you do, nothing is sent.

  • The custom recipient has no valid address: enter a working email address.

  • Requires both an inspection type and a service: see Limit an Email Event to Inspection Types or Services.

  • Overlaps another active event: another active event emails the same recipient on the same trigger within an hour. Change the timing or turn one of them off.

Create a new email event

  1. Select New Email Event at the top of the Email Events page.

  2. Optional: under Or start from:, pick a common event to fill in the recipient, timing and trigger for you. The choices are Confirm the appointment, Remind before the inspection, Deliver the report, Notify the buyer's agent, Ask for a review and Nudge an unpaid invoice.

  3. Fill in the sections described below.

  4. Save the event (see Save and turn on below).

If your office has AI features enabled, you can also get event ideas, describe an event in your own words, or draft a template with AI. See Use AI to Create Email Events and Templates.

The editor

Event

Enter an Event name. This is the name you see in the list and in the sending queue. Recipients do not see it.

Who gets it, and when

This section reads as one sentence: Email [recipient] [amount of time] [minutes, hours, days or weeks] [before or after] [trigger]. For example: Email Client(s) 1 day before the inspection.

For the full list of triggers and timing, see Email Event Triggers and Payment & Signing Conditions. For recipients, see Choose Who Receives an Email Event.

Below the sentence, a note tells you which orders the event applies to: an event applies only to orders created after it is saved. Existing orders never receive it.

What they receive

  1. Choose an Email template. The template holds the subject and body of the email. To make a new one without leaving the page, select the + button (Create a template) next to it.

  2. Enter the Sender name and Sender email that recipients will see.

  3. To fill these in with one click, use the Sent from buttons:

    • Office: your office's name and email.

    • Me: your name and email.

    • Primary inspector: each email comes from the primary inspector on the order. ISN fills in %inspectordisplayname% and %inspectoremail%, which are replaced with that inspector's name and email when the email is sent.

Inspection scope

Choose whether the event applies to every inspection or only to some. See Limit an Email Event to Inspection Types or Services.

Tracking and copies

  • Mark as sent (tracking only): tick Report, Agreement or Invoice if this email delivers that document. Nothing is attached to the email. Put the document's link in your template (for example, the report link); the ticked item is then recorded as sent to the recipient when the email goes out. Ticking Report may also mark the order released, if automatic released flagging is on.

  • Send even to recipients who opted out of email events and BCC email addresses: see Choose Who Receives an Email Event.

Payment and signing

Optionally send the email only when the order is, or is not yet, paid or signed. See Email Event Triggers and Payment & Signing Conditions.

Check, preview and test before turning on

On the full editor page, the right side shows:

  • Ready to turn on?: a checklist (template, name, sender, recipient, inspection scope). Click a line to jump to the section that needs it.

  • Preview: the email as a recipient would see it, filled in with a sample order. Links in the preview are disabled.

  • Test send: select Send me a test to email a sample to yourself. Save the event first; the test button is not available while you have unsaved changes.

Save and turn on

Use the buttons at the top of the editor:

  • Save, Leave Off: saves the event without turning it on.

  • Save & Turn On: saves the event and turns it on.

  • Save Email Event: shown instead of Save & Turn On when the event is already on. Saves your changes and keeps it on.

A badge next to the buttons shows Unsaved changes, On, Off or Not saved.

Edit an existing event

  1. Go to Email > Email Events.

  2. Select the Edit (pencil) icon on the event's row, or open the event and select Quick edit or Edit.

  3. Make your changes and select Save Email Event (or Save, Leave Off / Save & Turn On if the event is off).

To delete an event from the editor, select Delete event at the bottom of the page.
