Choose Who Receives an Email Event

Pick an email event's recipient, send to vendors or contacts, add BCC addresses, and handle opted-out recipients.

Each email event sends to one kind of recipient on the order, such as the client or the buyer's agent. You can also send to a fixed address, blind-copy other addresses, and decide whether the email goes to people who opted out.

Choose the recipient

  1. Go to Email > Email Events.

  2. Select New Email Event, or select the Edit (pencil) icon on an existing event.

  3. In the Who gets it, and when section, the first choice after Email is the recipient. Pick one of:

    • Client(s): every client on the order.

    • Buyer's Agent: every buyer's agent on the order.

    • Seller's Agent: every seller's agent on the order.

    • Inspector: the order's primary inspector.

    • All Inspectors: every inspector assigned to the order, not just the primary.

    • Escrow Officer

    • Insurance Agent

    • Contact: the order's contact of a type you choose (see below).

    • Other...: a fixed name and email address you enter (see below).

  4. Save the event.

If your office uses the relocation system, Relocation Contact and Transferee also appear.

Orders with more than one client or agent

When an order has several clients, buyer's agents or seller's agents, ISN sends each of them their own copy of the email. Each one appears separately in the order's email events, so you can track delivery for each address and hold or delete the email for just one person. See Email Event Sending Queue and On-Hold Emails.

There is no single "agents" recipient. To email both agents, create one event for Buyer's Agent and one for Seller's Agent. Select Duplicate on the first event to save time.

Send to a contact

  1. Choose Contact as the recipient.

  2. A Contact type box appears under the sentence. Choose the contact type to send to.

The list shows the contact types set up in your office. If it is empty, create a contact type first. See How to Create New Contact Types.

Send to a fixed address (vendors and others)

Use Other... for someone who is not on the order, such as an outside vendor who performs an ancillary service.

  1. Choose Other... as the recipient.

  2. Enter a Recipient name.

  3. Enter one or more addresses in Recipient email, separated by commas (for example name@example.com, other@example.com). Replacement values also work. The field holds up to 64 characters.

  4. Use Inspection scope to send only for the inspection types or services that vendor handles. See Limit an Email Event to Inspection Types or Services.

  5. Save the event.

Blind-copy (BCC) other addresses

  1. In the editor, open Tracking and copies.

  2. Enter addresses in BCC email addresses, separated by commas or semicolons (up to 128 characters).

  3. Save the event.

Each personalized email gets its own BCC. For example, if the event goes to two clients, each BCC address receives two copies.

Recipients who opted out of email events

Clients and agents can be opted out of email events. By default, ISN skips them.

Some emails should reach them anyway, typically report delivery. For those events:

  1. In the editor, open Tracking and copies.

  2. Tick Send even to recipients who opted out of email events.

  3. Save the event.

This setting affects only the event you tick it on. Opted-out recipients still won't get your other email events.
