Every email event is timed from a trigger: something that happens on the order. You choose the trigger, how long before or after it the email goes out, and optionally whether the order must be paid or signed.
Where to set the trigger and timing
Go to Email > Email Events.
Select New Email Event, or select the Edit (pencil) icon on an existing event.
In the Who gets it, and when section, complete the sentence: Email [recipient] [amount] [unit] [before or after] [trigger].
Save the event.
Triggers
The trigger list shows these options under Order lifecycle:
the inspection: the date and time of the inspection itself.
the order is scheduled: when the order is created.
the inspection is completed: when the report is completed.
the inspection is fully paid: when the order is completely paid.
the agreement is signed: when the order is completely signed.
payment and signing are complete: when the order is both paid and signed.
payment, signing, and the inspection are complete: when the order is paid, signed and complete.
an attachment is uploaded: when uploaded files become available on the order. Useful for sending something like a radon or termite report after the main report has gone out.
Timing
Enter any number, then choose minutes, hours, days or weeks.
Choose before or after the trigger. For example, 1 day before the inspection is a reminder; 2 days after the inspection is completed could be a review request.
Enter 0 to send as soon as the trigger happens.
The longest delay is 6 years.
The event's summary in the list spells out the timing in plain words, for example "1 day before the inspection".
Payment and signing conditions
A condition is an extra check made when the email is due to go out. If the order does not meet it, the email is not sent.
In the editor, open the Payment and signing section. Its heading shows No conditions or Conditions set.
Set Payment condition and Signing condition to one of:
Send regardless: no check (the default).
Only when complete: send only if the order is paid (or the payment is authorized) / signed.
Only while incomplete: send only if the order is not yet paid / not yet signed.
Save the event.
Example: to remind clients to pay without bothering clients who already have, create an event to the client 1 day after the inspection with Payment condition set to Only while incomplete. The starter Nudge an unpaid invoice under Or start from: on a new event sets this up for you.
Which orders an event applies to
An event applies only to orders created after it is saved. Existing orders never receive it. The editor and the event's details show the exact date.
