Use AI to Create Email Events and Templates

Get email event ideas for your office, describe an event in your own words, and draft email templates with AI.

Overview

If AI is turned on for your office, three AI tools help you set up email events and the templates they send:

  • ✦ Ideas suggests email events your office may be missing.

  • ✦ Describe it instead builds an event from a sentence you type.

  • ✦ Generate one drafts the email template for you.

AI never saves or turns on anything by itself. Every suggestion opens for you to review and change first, and new events stay off until you save and turn them on.

You'll see these buttons only if AI features are enabled for your office. Creating templates with AI requires the Owner Access privilege, which is set on each user's page under Privileges.

Get ideas for your office

Ideas looks at the email events you already have, your inspection types and how often each event has sent, and suggests events that could fill the gaps.

  1. Go to Email > Email Events.

  2. Click ✦ Ideas above the list.

  3. In the Ideas for your office panel, click ✦ Generate ideas.

  4. For each suggestion:

    • Click Add to quick setup to open it in Review suggested email event. Check the details, change anything you need, and save it.

    • Click Not for us to hide it. Dismissed ideas stay hidden for your whole office.

  5. Click Refresh ideas to get a new set.

Ideas does not use your email bodies, client records or sender addresses.

Describe an event in your own words

Instead of filling in each field, you can type what the event should do and let AI fill in the editor.

  1. Click New Email Event.

  2. In the Who gets it, and when section, click ✦ Describe it instead.

  3. Under What should this event do?, type a sentence, for example: Remind clients one day before their inspection. Abbreviations like BA and SA are understood.

  4. Click ✦ Draft event.

  5. Review the Proposed event: the event name, who gets it and when, the payment and signing conditions, the inspection scope and the template. You can change any of them right there. Click Try another for a different version.

  6. Click Use this draft to load it into the editor, then save it.

Check the template. AI picks an existing template by its name. If none clearly fits, it asks you to choose one or create one.

Leave client names, addresses and other private details out of your description.

Draft an email template with AI

You can do this when you create a template from an email event, or when you create a new template under Email > My Email Templates.

  1. In the email event editor, click + Create a template. On the templates page, click New Email Template and open Quick create a template.

  2. Click ✦ Generate one.

  3. Under What should the email say?, describe the email. You can mention details to include, such as square footage, fees or the report link.

  4. Pick a Tone: Formal, Friendly or Brief.

  5. Click ✦ Generate draft.

  6. Refine it if you like with Try another, Shorter or Add a calendar link.

  7. Click Use draft in editor, review the text, and save the template.

The draft greets the event's recipient. It adds a sign-off only if your container (letterhead) doesn't already have one. It fills in client, inspection and payment details with replacement values such as the inspection date, so each email gets the right information. Calendar links use a placeholder you can edit.

Things to know

  • Always review before saving. AI can make mistakes. Read the event and the email before you turn the event on.

  • Keep private details out. What you type is sent to our AI provider to create the draft. See AI Features in ISN Web: Usage Limits and Availability for how your data is handled.

  • Usage limits. AI use is shared across your company and has daily and monthly limits. If a request doesn't go through, wait a minute and click Retry request.
