You can add images and files to your email templates, and have order documents attached automatically when a template is sent. You need the Owner Access privilege to edit email templates. Privileges are set on each user's page under Privileges.
Add an image or a file to the email body
Go to Email > My Email Templates and open the template.
In the email body, place your cursor where the image or file should go.
Next to Email Body, select Upload Image or File.
Choose the file or files on your computer. You can upload up to 10 at a time.
Select Save Template at the top of the page.
What you'll see in the email:
Images appear in the email where your cursor was. Large images are resized so their longest side is at most 850 pixels, so your email stays quick to open.
Other files, such as PDFs, appear as a link with the file's name. Recipients select the link to open the file.
You can also paste an image straight from your clipboard while you're on the page, and it uploads the same way.
Attach order documents automatically
In the Attachments section, tick the documents that should go out with this template:
Attach report (not recommended). Reports can be too large to email. Sending a link to the report is usually better.
Attach agreement
Attach invoice
Attach inspection ICS (iCal). A calendar file the recipient can add to their calendar.
Attach public attachments. Any files on the order marked as public.
Attachments are only included when the template is sent from an Email Event or manually. Mass emails do not include attachments.
Attach files from My Files & Folders
To send the same file every time, for example a pre-inspection checklist, attach it from My Files and Folders.
Upload the file first, under Tools > My Files and Folders.
Open your email template. If it is new, select Save Template first. Files can only be attached to a saved template.
At the bottom of the page, find the My Files & Folders card and select Show +.
Use Search to find your file.
Tick the box in the Attach column next to the file.
Only attach a file for certain inspection types
Once a file is attached, you can limit it to certain inspection types:
Select Edit on the file's row.
Tick the inspection types the file should go out with.
Select Save.
