This article explains how to add the Buyer's Agent contact information Control to your Order Form.
By default, this Control is available in your Order Form within the Buyer's Agent Tab. Just as the name says, this section will allow you to add the Buyer's Agent contact information for the order.
If for some reason you accidentally delete the tab and/or the Control, or want to customize your Order Form in a different way than it is currently set up, you can follow the next article to learn how to Add Controls to the Order Form.
These are the settings that you have to set up before adding the Control to the Order Form Sections:
1.- It is a preview of how this Control will look like in the Order Form
2.- The Control Dropdown (here is where you select the Control to add to your system)
3.- How would you like to name the Control in your ISN
4.- Short description. This one will only be visible to the users with permission to edit Controls
Once you have finished setting up the Control, click on the Add Control button to save it.
You will be sent back to the Order Controls. Now, if you want that Control to be added to the Order Form, make sure that the "Show in Order Form" option in the 6th column is checked in Green:
This is how the Buyer's Agent Control will look like in your Order Form:
You can add a new buyer's agent, or search for an existent one that was involved in a previous order to fill up this section with the same data.
Once you have selected any of the options before, the Client Control will look like this (for the article purpose, we have divided the Buyer's Agent Control into 4 sections):
A.- Buyer's Agent basic info, such as name, email, and website.
B.- You can upload the Buyer's agent picture. The picture will be visible in the Agent's profile, the Order View, and in the Real Estate Dashboard.
C.- Agency basic information.
D.- Here you can add the Agent's phone, also you can check the box if the agent confirms that he or she would like to receive SMS Events, and there's also the option to opt-out from Porch communication for that agent's clients.
E.- Followed by the contact information you will see 5 subsections that will provide more details about the agent's profile in your ISN.
You can assign the Agent to a Team. Here is an article that will help you with Creating/Deleting Agent Teams.
The agent labels are very useful to identify and sort the agents in your database. It's also very useful when sending mass emails, as you can select a specific label to send the mass email. Here are two very useful articles to know more about how to set up the labels:
Create a Client or Agent Label
Add Multiple Agents to a Label at Once
The Agent Notes are for internal use only, no one outside your ISN will be able to see those notes. A good example of note will be to specify the Agent's availability, any highlights, etc.
The Private Notes can be only visible by the users that have permission to see the Agent's private notes. Here you can add information that you consider sensitive and it's better to keep it personal, this field is not added to your ISN by default, follow this article to Enable Private Agent Notes.
To have even more details about the agents' careers, you can ask them and add a short bio in your ISN. The agents can also add it once they have access to the Real Estate Dashboard.
NOTE: if you accidentally assign an existing agent to the wrong order and want to change the data, DO NOT edit the agent information directly from the fields (section A) as it will replace the agent name for all the inspections previously involved. Use the "Add New Agent" or "Search for an Existing Agent" buttons instead.
In the Office Settings, you will also have the option to prevent agents from being edited in order unless you deliberately choose to edit them; this setting is located under Settings --> Office Settings --> Inspection Order Options:
