Understanding Replacement Values in ISN

Replacement values are dynamic placeholders that automatically insert information into an ISN template. They save time, help keep communications consistent, and reduce the need to manually re-enter information that is already in ISN.

What is a replacement value?

A replacement value is a short piece of code written between two percent signs, such as %REPLACEMENT_VALUE%. When an agreement, email, invoice, or other supported template is generated, ISN replaces that code with the relevant information.

Most replacement values pull information from the inspection order form, such as the client's name, email address, phone number, property address, requested services, fees, and inspection details. Other values can retrieve information stored elsewhere in ISN, including company, office, inspector, agreement, payment, or date-and-time details, etc.

For example, instead of manually adding a client's name to every agreement, you can insert the appropriate client-name replacement value once in the agreement template. ISN will then populate the correct name when the agreement is used for an inspection.

Why use replacement values?

Replacement values allow a single template to adapt automatically for each inspection. They are particularly useful for:

  • Agreements and other client-facing documents

  • Email templates and automated email events

  • SMS events, with a more limited selection of replacement values

  • Email containers

  • Invoice templates

The replacement values available can vary by the area of ISN you are editing. SMS events support fewer options than email templates and agreements.

Add a replacement value to an email template

  1. Go to Email > My Email Templates.

  2. Select Add Email Template, or open an existing template to edit it.

  3. In the text editor, place your cursor where you want the information to appear.

  4. Select Insert Replacement Value on the right side of the page.

  5. Expand the category that contains the information you need.

  6. Review the description, then select the replacement value to insert it into the editor.

  7. Save the template.

Add a replacement value to an agreement

  1. Go to Settings > Office Settings > Agreements.

  2. Select Add Agreement, or open an existing agreement to edit it.

  3. In the agreement editor, place your cursor where you want the information to appear.

  4. Select Insert Replacement Value in the upper-right corner.

  5. Expand the appropriate category and select the replacement value you want to use.

  6. Save the agreement.

Find the right replacement value

When you select Insert Replacement Value, ISN organizes the available values into categories. In email templates, categories may include:

  • Agreement

  • Buyers

  • Sellers

  • Agent

  • Client

  • Company and Office Branding

  • Customer Invoice

  • Date and Time

  • Order and Inspection Details

  • Escrow

  • Title

  • Fees and Pricing

  • Inspector

  • Template Structure

  • QA and Payment Status

  • Recipient Contact

  • Services

Each category shows the number of values it contains. Expand a category to see its options. ISN displays a brief description with each value so you can confirm what information it will insert before adding it to the template.

Verify that your replacement value works

After saving, return to the list of templates or agreements and use View to preview the result.

In the preview tool, you should see information in place of the replacement-value code. For example, a client-name value should display a client name or an empty space, rather than the percent-sign code: %clientdispalyname%.

In some cases, a field may appear blank. This is expected when the preview or associated order does not contain information for that value. The important check is that the replacement-value code itself does not appear in the generated content.

Best practices

  • Insert values from the Insert Replacement Value menu whenever possible. This helps preserve the correct format.

  • Do not remove or alter the percent signs around a replacement value.

  • Confirm the source information exists in the applicable order or ISN record before expecting it to populate.

  • Preview or test the template after making changes, especially before using it in an automated event.

  • Use only the values available in the editor you are working in; availability can differ between agreements, email templates, SMS events, email containers, and invoice templates.

Replacement values make ISN templates more efficient, accurate, and personalized while allowing you to maintain one reusable template for many inspections.
