Should I send a report as a link or an attachment?

Sending reports as a link lets you require payment or a signature first, shows when the report was viewed, and avoids email size limits.

Applies to: ISN · all users

ISN can send an inspection report two ways: as a link or as an attachment. We recommend sending it as a link. To send a report, see Emailing an Inspection Report. To choose which way ISN sends reports by default, see Report Emailing Options.

Sending the report as a link

How it works: the email contains a link. Your client clicks it to open the report online. The report file never goes in the email.

Benefits

  • You can require payment or a signed agreement before the report opens. If the client hasn’t paid or signed yet, ISN asks them to do that first, then shows the report. See Prevent Report Viewing without a Signature and Payment.

  • You can see who viewed it. The order records when the report was sent, who it went to, and whether they opened it. See See if Emails or Reports have been viewed.

  • Large reports always arrive. There’s no file size limit, so reports with a lot of photos aren’t a problem.

  • You choose how long the link works, up to 10 years, or set it to never expire. You’ll find this in Settings › Office Settings, under Interacting with my Clients and Agents › Report Options.

Sending the report as an attachment

How it works: the report file is attached to the email itself.

Benefits

  • The client has the file right away, with nothing to click through.

Drawbacks

  • Anyone who receives the email can open the report, whether or not the order is paid or the agreement is signed.

  • ISN can’t show you whether it was opened.

  • Large reports may not arrive. Many email providers reject messages over about 20 MB, and ISN can’t tell you when that happens.
