How do I write, complete, and email reports in Inspection Support?

Inspection Support provides a streamlined process for writing, completing, and emailing reports. This guide outlines the steps for both desktop/web and mobile platforms, ensuring you can efficiently manage your reports.

Writing a Report (Desktop/Web)

To create a report using the desktop or web version of Inspection Support:

  1. Navigate to Inspections > Scheduled Inspections.

  2. Locate the relevant order and select Actions > Write Report.

  3. Choose Add New Template to start drafting your report.

Completing and Finalizing a Report

To finalize a report and trigger its email to the client:

  1. Open the relevant order from the Order Grid.

  2. Access the Web Report Writer for that order.

  3. Select the Mark Complete option. A confirmation pop-up will appear—click Mark Complete again to finalize.

Once marked as complete, the report will be published and automatically uploaded to the order in Inspection Support. The associated email events will be triggered, and the report will be sent to the client 15 minutes after publishing. Note: Marking a report as complete is a permanent action and cannot be undone. Completed orders will count in your billing cycle.

Emailing a Report (Desktop/Web)

To email a report from the desktop or web version:

  1. Go to Inspections > Scheduled Inspections.

  2. Click Actions, then select Email Inspection Report, or click the envelope icon if enabled.

  3. Select the recipient email addresses and click Email Report. The report will be sent as a link, allowing you to track views and receive notifications when it is accessed.

  4. Optionally, you can: - Attach all 'Order Attachments' to the email. - Disable report protection to include the report as an attachment. Note that this disables Inspection Support's ability to enforce payment or agreement requirements before viewing.

Emailing a Report (Mobile App)

To email a report using the ISN mobile app:

  1. Open the ISN app and navigate to the main menu.

  2. Tap Inspections and select the relevant inspection.

  3. Tap Send Email.

  4. Choose the template "Sending report as a link."

  5. Select the recipient and tap Send Email.

Key Considerations

  • Marking a report as complete is irreversible and impacts billing.

  • Emailing reports as links allows tracking and notifications, while attaching reports disables certain protections.

By following these steps, you can efficiently manage your reports in Inspection Support, ensuring timely and accurate communication with your clients.
