First you need to determine or create the Email Template that you will use for your Mass Email. Your ISN has a wonderful library of pre-filled email templates created for many different situations and they can be edited to fit your needs. You can grab those under Email -- Get Templates and Containers CLICK HERE to view our article on adding those to your ISN.
To create your own Email Template simply go to Email -- My Email Templates -- Add an Email Template. CLICK HERE for our article on that as well.
If creating your own Email Template, you will need to give the template a name and provide a subject heading. Choose the container (your email stationery) you would like the Email Template to use, and finally add the content of the email.
IMPORTANT NOTE! All Mass Emails MUST be in compliance with the CAN-SPAM ACT of 2003! In order for your Mass Email to be in compliance and for us to send it out on your behalf, the email (your email template) MUST have the following:
A legitimate physical address (PO boxes are allowed) of your business (you must type out your address in your template – or use %companyaddress%)
The unsubscribe link (you must have the replacement value %unsubscribelink% in your template)
Relevant subject line (must not be deceptive)
ALL email providers, gmail, yahoo, aol, hotmail, etc. etc. have gotten much stricter with sending unsolicited emails. You MUST use an owned domain named email address. Should you attempt to set up a mass email and receive the following message.
Once your Email Template has been created and complies with the CAN-SPAM ACT of 2003 you will then need to set up your Mass Email. Go to: Email -- My Mass Emails -- Add Mass Email, and follow the directions below:
Create a name for this Mass Email, choose who will be the recipients of the Mass Email, and then pick from the drop down menu your newly created Email Template that will be used to send the email.
NOTE: Recipients selections provide the following options:
Category: Displays various pre-built recipient lists that include Agents, Clients, and any Agent or Client Labels. Multiple recipient list selections are possible.
Agency: Displays a drop down menu of real estate agencies making it possible to mass mail all agents assigned to a single selected agency.
Insurance Company: Similar to the Agency option, displays a drop down menu of insurance agencies, making it possible to mass mail all insurance agents assigned to a single selected insurance agency.
Contacts: The Contacts option displays if at least one Contact Type exists, and similar to the Agency and Insurance Company options, displays a drop down menu of contact types, making it possible to mass mail all contacts of a single selected type. After you have chosen your email template from the drop down, review and check any of the boxes (below the Email Template to use) appropriate to your needs.
IMPORTANT NOTE! Checking the acknowledgment box you are affirming your Mass Email is CAN-SPAM Act of 2003 compliant! PLEASE NOTE: Your Mass Email WILL be delayed in being sent out if it is missing any or all parts required to be in compliance!!
PLEASE NOTE All Mass Emails are processed in the order they are received and manually verified by a technician to ensure their compliance before being sent out. Once your Mass Email has been verified and approved, we actively send emails on ISN Monday through Friday 8AM EST to 8PM EST and during weekends from 8AM EST to 6PM EST. Please note, Mass Emails are not verified and approved on major national holidays such as Christmas Day and New Year’s Day. For example, if you set up a Mass Email on a Saturday after hours to go out ASAP, it will not be verified and approved until the next day (Sunday), at which time it will be queued to be sent out. To better assist you please ensure your Mass Email is CAN-SPAM Act of 2003 compliant to avoid any delivery delays!
